Workspace management

With workspace management, you can manage office space to develop agile space strategies for optimized usage, better working conditions, energy savings, and cost efficiency. You can document and plan your office space and measure, analyze, and improve its utilization from portfolio level down to desk level for each building.

For workspace management, the following concepts apply:

Description

Work area type

Work area type defines the kind of work for which an area in the office building is used, e.g., silent office work, collaborative work, etc. Work area types are defined in the workspace management settings. Users define work area types for the complete portfolio. The kind of work associated with a specific work area type needs to be defined beforehand by your organization as part of the workspace management concept.

Work area

A work area is an area within the building that belongs to a given work area type defined in the workspace management settings. Users can add work areas at floor level to buildings. Work areas usually cover a whole space or part of a space.

Workspace

A workspace is a single bookable entity that always belongs to a previously added work area. For each workspace, the capacity is defined to specify how many people can use it; e.g., a desk for silent work has a total capacity of one person versus a meeting room desk with more people.

Neighborhood

A neighborhood is a collection of workspaces in an office with seating. Neighborhoods can go across several work areas and spaces on floor level and several floors in a building. Usually, neighborhoods are created for departments or project teams. Connected booking apps can support the booking of workspaces in dedicated neighborhoods and bring employees who work together together.

Workflow

Follow the steps to start documenting your office spaces with workspace management.

  1. Define work area types.

  2. Add work areas to a building floor in a 3D BIM model or a list view if no 3D BIM model is available for the building.

  3. Add individual workspaces to the 3D BIM model or in the list view when no 3D BIM model is available for the building.

  4. Enable individual workspaces for booking in a desk booking app connected to the BuildingMinds Platform.

  5. Combine individual workspaces into neighborhoods.
