The Rental Contracts feature provides users with a streamlined interface to efficiently manage their rental agreements and associated payments for buildings. With this tool, you can create, view, edit, and delete rental contracts and payment records, ensuring that all your rental information is organized and up to date.
Changes made to rental contracts or payments—whether creating, editing, or deleting—are automatically synchronized with the reporting layer, ensuring data consistency across systems. This seamless integration allows for accurate reporting and analysis of rental activities.
This feature allows users to see the list of all existing rental contracts for the portfolio or for a building.
To access the list of rental contracts.
For the whole portfolio
Select the Data management icon in the left menu
Select Rental contracts in the left menu in the section “Lease data”
For a building
Select the Data management icon in the left menu
Select a building in the list of buildings
Select Rental contracts in the left menu in the section “Lease data”
In the list the user can see a few basic information about each Rental contract.
User can sort the list by any column.
Only users with the feature permissions for “Lease data” can access the rental contract list and page.
Rental contract: manual data creation To manually create a rental contract in the platform: 1. Navigate to the list of rental contracts under Data Management > Lease Data. 2. Click on 3. Fill in all mandatory fields in the form. 4. Click Save. A notification will appear and the new rental contract will be visible in the list. | Rental contract: Bulk upload To upload multiple rental contracts in the platform: 1. Select the Tools icon in the left menu. 2. Download the onboarding template. 3. Prepare the rental contract data in the file. 4. Upload the file. The new rental contracts will be visible in the list in Data management. |
Rental payment: manual data creation To manually create a rental payment in the platform: 1. Navigate to the list of rental contracts under Data Management > Lease Data. 2. Select a rental contract in the list. 3. Scroll down to the section “Rental payments”. 4. Click on 5. Fill in all mandatory fields in the form 6. Click Save. This feature allows users to see the data of a single rental contract and payment.
Navigate to the list of rental contracts under Data Management > Lease Data.
Click on the row of the rental contract.
The page of the selected contract is displayed, including the list of rental payments for this contract.
To go back to the list, use the Back
button at the top right corner.
This feature allows users to edit the data of a rental contract and payment.
Edit rental contract 1. Navigate to the list of rental contracts. 2. Click on the row of the rental contract 3. Click on the three dots at the right corner of the data box you want to edit. 4. Edit the data. If a mandatory field is removed, saving is disabled. 5. Click Save. A toast notification will appear and the new rental contract will be visible on the page. | Edit rental payment 1. This feature allows users to delete a single rental contract and payment.
Delete rental contract 1. Navigate to the list of rental contracts. 2. Hover over the row of the rental contract you want to delete. 3. Click on Delete icon. 4. Confirm deletion. A notification will appear and the new rental contract will be removed from the list. | Delete rental payment 1. Navigate to the list of rental contracts. 2. This feature notifies the user immediately if they try to add rental contract and payment data that overlaps with existing data.
When the user adds or edits rental contract and payment data, the system checks the existing rental contracts and payments for the same rental unit.
If the rental contract or payment is overlapping with an existing one, a warning is displayed.
User must correct the data, so the Save option is enabled.
User corrects the data of the rental contract or payment being added/edited.
User opens the conflicting rental contract or payment by clicking on the link provided in the warning and corrects the existing rental contract or payment.
User can click on Save again. The check runs again and if no other conflicts exist, the data is saved.
This ensures that a rental unit will never have overlapping rental contracts, and a rental contract will never have overlapping payment records.
